About East Coast Facilities

Position Overview
  • We are looking for two organized, professional, and people-oriented Home Office Administrators to serve as the administrative and operational backbone of our Allentown, PA home office. These roles involve interfacing with leadership, supporting HR and payroll administration, coordinating with regional teams, and ensuring the smooth operation of the home office.
  • Both roles will be cross-trained across all HOF Administrator functions, providing flexibility and coverage across the team.
Job Overview
  • In these in-person, office-based roles, you will be the primary point of contact for visitors, vendors, employees, and regional teams, representing ECF professionally and warmly. You will also provide administrative support, coordinate regional activities, and ensure the smooth running of the home office.
Key Responsibilities
  • Be the face of ECF's Home Office, serving as a primary point of contact for all visitors, vendors, employees, and regional teams.
  • Coordinate between the Home Office and regional Branch Administrators for consistent information flow.
  • Provide administrative and executive support to department heads and senior management.
  • Assist with HR and payroll administrative tasks, office facilities management, mail handling, events coordination, and other administrative duties as assigned.
Responsibilities
  • 2+ years of experience in office administration, executive support, or related roles.
  • Proficiency in Microsoft Office Suite and strong communication skills.
  • Ability to handle sensitive information with discretion and willingness to travel occasionally.
What We're Looking For
  • 2+ years of experience in office administration, executive support, facilities coordination, or related roles.
  • Professional, polished, and welcoming demeanor.
  • Strong organizational and multitasking skills in a fast-paced environment.
  • Proficiency in Microsoft Office Suite and strong communication skills.
  • Ability to handle sensitive information with discretion and willingness to travel occasionally.
Preferred Qualifications
  • Experience with ADP Workforce Now and Sage Intacct or comparable ERP.
  • Experience providing executive-level administrative support and coordinating company events.
  • Notary Public certification or willingness to obtain.
  • Bilingual in English and Spanish is a plus.
